Waterfront Toronto Privacy Statement
The Waterfront Toronto Privacy Statement (“Statement”) explains how we collect, use, and disclose personal information. This Statement applies to information we collect, use and disclose, including when you visit and interact with our website, when you apply for a position with us, when you contact us as well as when you attend a public meeting, event or consultation.
At Waterfront Toronto, we respect your privacy and understand the importance of protecting the personal information under our control. Waterfront Toronto’s privacy practices follow Canadian privacy principles and general privacy codes. 
 
Personal Information
This Statement applies to any personal information we collect or receive about you, from you or any other source. “Personal information” as used in this Statement refers to any information that identifies, relates to, describes, or is reasonably capable of being associated with a particular individual and that is recorded in any form (such as your name, your phone number, and your postal and email address), as further defined in applicable privacy legislation. It may also include technical information such as your IP address, browser settings and device ID, but only when this information can identify you as an individual. Personal information excludes information that is anonymized and cannot be associated with an identifiable individual and aggregate information which represents compiled data from a group of individuals who can no longer be individually identified.
Please note that we do not intend to collect information from legal minors. If you believe we may have collected information from your child, please contact us as indicated in the “Contact Us” section so that we can endeavour to delete it.
Categories of Personal Information
Some of the personal information we collect and use:
 
- Identification and demographic information: If you attend an event such as a project consultation, respond to a survey, or subscribe to our newsletter, we may collect your first and last name, email address, telephone number, or postal code. We may also collect other demographic information such as age, gender, ethnicity, education, and salary range. You provide this information directly to us. We use this information to understand who we are interacting with and to improve your experience at future events.
 - Video and images: We may capture photos and videos, or livestream our community events, such as stakeholder meetings and public roundtables. If you attend these meetings, your image and voice may be collected. We use the images and videos to share highlights of the events and to create a record of the discussions that occurred. We may also use the images and videos for promotional purposes.
 - Employment information: We collect the information contained in your CV, work samples, references, and other job application information. We use this information to review and evaluate applications.
 - Communications: We collect the information you submit to respond to your inquiry, request, and / or complaints.
 - Internet or other technical electronic network information: We collect certain internet or electronic network activity information via automated means, such as cookies, authorized token, web beacons and similar technologies. This information may include your IP address, device ID, browser type, data about the web pages you visited on our websites, time and duration of a visit, information about your location, your language preferences. We collect and use the above information to allow Waterfront Toronto to provide, manage and improve our services.
 
How Waterfront Toronto collects and uses personal information
We collect personal information in the following ways:
 
- When you attend and / or participate at a stakeholder event, community meeting, event panel, etc.;
 - When you browse and interact with our website (see “Cookies and Other Technologies” below);
 - When you provide information directly to us, such as when you submit your resume and job application or subscribe to our newsletters;
 - When you communicate with us in person, by mail, over the telephone, through our website or social media or in any other direct manner;
 - When you respond to a public survey; and
 - When you provide us with any other personal information.
 
We use your personal information in the following ways:
 
- Improving our business operations;
 - Providing customer service and responding to your inquiries or requests;
 - Managing and improving your experience when using our website;
 - Protecting our legal rights;
 - Maintaining appropriate records for internal administrative purposes, including for staffing and personnel management; and
 - Complying with legal requirements.

Cookies and Other Technologies
Our website uses cookies and other technologies to automatically collect certain technical data.
 
- IP Addresses: We may collect your IP address when you visit our website to help us diagnose problems, manage our system administration, report aggregated data, and to audit the use of our website. We do not link IP addresses to anything personally identifiable.
 Cookies and other technologies: Like many websites, we use “cookies” and other similar tracking technologies (such as pixel tags, scripts, etags, and web beacons) on our website. A cookie is a small text file installed on your computer or other device that enables the website to recognize you. It consists of a unique number and can distinguish you from other visitors. It does not contain any personal details. This means that it is very difficult to identify you personally on the basis of such cookies, or identify you when you visit third party websites.
We use two types of cookies on our website: persistent and session cookies. Persistent cookies remain on your device after you leave our website while session cookies are temporary and are deleted from your device after you close your browser. Depending on the type, the cookies may be necessary for the website to function or improve performance or to allow us to connect to third party sites such as social media pages. We collect this data to help us analyze our website flow, performance, content structure, better reflect visitor preferences, and track usage.
- Analytics: We use Google Analytics, a web analysis service of Google Inc. Google Analytics uses cookies to analyze your use of the websites, to create reports about visitor activities for us, and to provide further services associated with the use of the websites and the internet. Although this information is collected through your Google ad settings, it is not provided to us in a personally identifiable format.
 
Waterfront Toronto does not engage in online behavioural targeted advertising.
Transfer and disclosure of personal information
To deliver our services and meet the purposes identified in this Statement, Waterfront Toronto requires help from third parties. We may use and share your information with affiliated and non-affiliated third parties, such as partners, contractors, agencies, and other government agencies in connection with the purposes outlined above.
These third parties may assist us in:
 
- Storing and securing data;
 - Web hosting;
 - Photography;
 - Hosting and managing public events;
 - Promoting events and initiatives; and
 - Processing surveys.
 
We may also disclose your personal information:
 
- if we believe that the disclosure is required by law;
 - if we believe that the disclosure will help us protect our rights, our property and our safety and those of our employees, customers and the public;
 - if we believe that the disclosure is necessary in the investigation of suspected or actual illegal activity or in response to a request by law enforcement authorities; and
 if such disclosure would be in a way that it would not directly identify you, such as through aggregate information.
As part of our mandate, Waterfront Toronto partners with public and private-sector organizations, and may share identifiable information and aggregated data. 
 
Aggregating and Anonymizating Data
Waterfront Toronto may use personal information to prepare aggregated user statistics or information summaries. Aggregated information is no longer personally identifiable. For example, the information provided in surveys is aggregated and anonymized to help us create insightful reports. This information may be disclosed to third parties provided it at all times remains in an aggregated format. 
 
Security of Personal Information
We use appropriate physical, technological and administrative security measures to protect your personal information against unauthorized use, access, modification, destruction, or disclosure. We contractually require our third-party service providers to use similar safeguards to those we use.
 
Retention of Personal Information
We retain personal information only as long as necessary, or relevant, for the purposes identified in this Statement, as required by law, and/or in compliance with our record retention policy.
Your Privacy Rights
You have choices regarding the way we handle your personal information:
 
- Changing your communication preferences: You can always choose not to receive marketing or promotional messages from us by email by clicking on “unsubscribe” in any email you receive or otherwise notifying us. Please note that even if you have indicated your choice not to receive commercial messages from us, we may still communicate with you in connection with an ongoing service, in accordance with applicable law (for example, to send you important service notifications). In addition, it may take up to ten (10) business days to register a change of preference across all our records.
 - Changing your browser settings: We use technology to enhance your experience when interacting with us. Through technologies such as cookies, our website recognizes you when you use it and can provide you with a more seamless experience. You can remove or disable some of these technologies at any time through your browser. However, if you do so, you may not be able to use some of the features of our websites. Please refer to your browser instructions or help screen to learn how to block, delete and manage cookies on your computer or mobile device.
 - Withdrawing consent: You may withdraw your consent to the collection, use and disclosure of personal information in accordance with this Statement at any time upon reasonable notice to us in writing, subject to legal or contractual restrictions. Please note withdrawing your consent may affect our ability to continue to provide you with the services that you have or would like to receive because the continued use and disclosure of your personal information is a necessary part of making the service available to you. In some circumstances, legal requirements may also prevent you from withdrawing consent and/or we may be required to retain some of your personal information.
 - Obtaining your personal information: You may be entitled to a copy of your personal information we have collected.
 - Accessing and correcting your personal information: You may be entitled to access your personal information and request the rectification information that is inaccurate, incomplete or no longer up to date, subject to limited exceptions set out in applicable laws.
